Five reasons your appointments are not kept

A booked appointment is not a kept appointment. Between the two, avoidable things happen.

When a client tells us their appointments do not hold, the first reaction is usually to blame the quality of the calls. In most cases we have handled, the cause lies elsewhere — and it can be fixed.

1. The need was never verified

A polite contact agrees to a meeting simply to end the call. If nobody has checked that they have a real need, a budget and a reason to act now, the appointment will not survive the first clash in their diary.

The fix is simple: refuse to set a date until those three points are explicit in the call report.

2. You were not speaking to the decision-maker

The meeting is accepted by someone with no authority to decide, who will have to get it approved internally. That invisible filter cancels a large share of appointments, often without explanation.

3. The gap is too long

Beyond ten days between booking and holding, the cancellation rate climbs sharply. Interest fades, the context changes, a competitor calls. When the sales diary allows nothing better, an interim follow-up is the minimum.

4. There was no confirmation

A call or message the day before changes everything, and costs a few minutes. It also frees the slot when someone cancels, instead of finding out on the doorstep.

On the campaigns we run, confirmation the day before is systematic. It is the cheapest and most profitable action in the whole chain.

5. The salesperson arrives without context

An appointment passed on without a report forces the salesperson to start discovery from scratch. The contact feels they are repeating themselves, and the meeting starts badly. What sparked the interest, the objections still open and the words used must travel with the appointment.

  • Written qualification criteria, applied before any date is offered
  • Systematic verification of the contact's role
  • A target gap between booking and holding, tracked as an indicator
  • Confirmation the day before, with the slot recovered if it is cancelled
  • A report handed over with every appointment

None of these measures is spectacular. Taken together, they are the difference between a full diary and a useful one.
